Travel Registration

You can register for a trip with Defender-Life through our website, by email, WhatsApp, or by phone. Upon receipt of your registration, we consider it a confirmed participation in the trip. We strongly recommend that all travelers purchase cancellation insurance in addition to travel insurance. Without cancellation insurance, you will be fully responsible for the costs of cancellation after registration.

Invoicing

After registering, you will receive a form and an invoice with the deposit (30%) and the remaining balance (70%), according to the payment schedule on the invoice. The deposit is due immediately. The total price of the trip includes VAT. The travel agency regulations for VAT apply to the sale of Defender-Life trips.

Cancellation by the participant

In case of cancellation by the participant:

• Up to 8 weeks before departure: the deposit (30%) remains due to Defender-Life.
• Within 8 weeks before departure: the full tour price (100%) remains due. In the event of late payment, Defender-Life reserves the right to cancel the trip, in which case the payment obligation remains in effect.

Cancellation by Defender-Life

Defender-Life may cancel a trip if the required number of participants is not reached or due to unforeseen circumstances. You will be informed of this no later than 6 weeks before departure. In the event of cancellation by Defender-Life, you will receive a full refund of your deposit. Defender-Life reserves the right to make changes to the program if weather conditions, logistics, or government regulations make this necessary.

Travel Preparation

After receiving your deposit and completed information, we will keep you informed of relevant details, such as the number of participants. Defender-Life will decide no later than 6 weeks before departure whether the trip will go ahead. You will be invited to an information and introductory meeting. A WhatsApp group will be created for each trip to keep you fully informed. Participant Declaration: On the first day of the trip, you will be asked to sign a liability and indemnity waiver.

Pets

Defender-Life cannot guarantee that all hotels are pet-friendly if the participant wishes to bring their pet. In some countries, such as Spain, dogs are almost never allowed in hotels. Therefore, your pet must also be able to sleep in the car.

Rooms with separate beds

If the participant is not traveling with their spouse/partner, but with a friend, neighbor, daughter, son, father, etc. If you prefer separate beds in your room at all times, we may sometimes need to (try to) arrange an additional room. This will be based on a cost estimate, at an additional cost.

Start of the trip

The Defender-Life trip officially begins upon arrival at your first accommodation in Portugal. Driving or flying together to your destination is an additional service and not an official part of the trip.

Responsibility/Participant Declaration

Defender-Life requires participants to sign the participation declaration (see attachment) before or on the first day of the trip. Defender-Life is not responsible for any incidents while driving the routes, whether on the way to the starting or final destination or while driving on the (un)paved tracks. Defender-Life will guide and assist participants as best as possible throughout the trip. If the participant/driver does not comply with traffic regulations and/or drives under the influence of drugs, Defender-Life is in no way responsible for their driving behavior, let alone for any resulting consequences. Defender-Life will guide and assist participants as best as possible during the trip. Defender-Life is responsible for planning, preparation, booking hotels, campsites, obtaining permits, dinners, lunches, contacts, and the tracks/route of the trip.

Vehicle Damage or Personal Injury

Participation in the trip is entirely at your own risk, whether on paved or unpaved roads. Participants must have a valid driver’s license, vehicle insurance, health insurance, and third-party liability insurance. Defender-Life accepts no liability for any damage or injury resulting from participation in the trips. Defender-Life is not liable for theft, loss, or damage to personal property or the property of third parties. Participants are strongly advised to purchase cancellation insurance and (vehicle) repatriation insurance in addition to travel insurance, as the costs, after registration, are your responsibility should cancellation or repatriation be necessary. Defender-Life is not liable. Damage claims. The participant must always claim damages from their insurance, such as travel, health, and/or third-party liability (TPL) or cancellation insurance.

Damage caused by participants to third parties

If the participant causes damage or destruction to third parties or their property, or to natural vegetation or forests during the trip, the participant is responsible for the financial settlement. Vehicle requirements

To participate in a trip, the vehicle must have legal registration documents, a valid vehicle inspection (MOT) and adequate vehicle insurance. Your vehicle is expected to be in good condition and properly maintained to participate in the trip and equipped with the recommended accessories. In the event of any damage en route, repatriation must be arranged by the participant.

Participant requirements

You must have a valid driver’s license and not be under the influence of alcohol or drugs during the trip. At the start of the trip, participants must be in sufficient health to undertake and complete such a trip. Participants must follow the organizer’s instructions.

GPS Tracks and Copyright

Defender-Life’s routes have been carefully compiled and are regularly updated to remain current. We request that participants do not record the routes with GPS, smartphones, or other devices. All Defender-Life routes and GPS tracks are protected by copyright. Actively sharing a route or parts thereof, either online or offline, without Defender-Life’s permission is prohibited. In the event of violation, we will be forced to take legal action.
